How to organise bookmarks across multiple browser profiles

Syncing a mess produces a synced mess

Before sharing anything between profiles, it is worth spending twenty minutes on the structure. A convention that works in one profile usually collapses across four, because every profile adds its own “Other bookmarks” dumping ground.

A convention that survives several profiles

1. One shared folder, named identically everywhere. Call it Shared. It holds only what genuinely belongs in more than one profile.
2. One local folder per profile, prefixed with the profile's purpose. “Work —”, “Acme —”, “Personal —”. The prefix makes the tree sort itself.
3. Bookmark bar for daily use only. If you do not open it weekly it does not belong on the bar; it belongs in a folder.
4. Two levels of nesting, maximum. Deeper trees are write-only — you will never navigate to them, you will search.
5. Rename on save. A page title is rarely a useful label. “Invoice template — Acme” beats “Google Docs”.

What not to bookmark

• Anything you can reach by typing three characters in the address bar.
• Account-scoped deep links that only resolve under one identity.
• Articles you intend to read — that is a reading list, and it should expire.
• Anything already in a shared team document; two systems of record means neither is current.

The quarterly pass

Open the shared folder, sort by name, and delete anything you have not used in three months. With cross-profile bookmark sync the deletion propagates, so the cleanup happens once rather than in every profile. This is the single habit that keeps a shared folder useful rather than turning it into noise multiplied by the number of profiles.

A quick checklist

• Shared folder exists, same name, in every profile.
• Shared folder holds fewer than roughly fifty items.
• No account-scoped URLs in the shared folder.
• Bookmark bar fits on one row without a chevron.
• Every profile has a distinct colour and avatar.
• Quarterly review scheduled.
